 1) Install Required Software
(a) Upgrade your Windows (if required) by visiting https://tools.google.com/dlpage/gappssync,

To see which version of Windows you are using:

  1. On your desktop, right-click the My Computer icon, then click Properties.
  2. Click the General tab.
  3. The information under System lists your operating system, its version, and any service packs.

(b) upgrade your Outlook (if required) by visiting https://tools.google.com/dlpage/gappssync and

To see which version of Outlook you are using:

  1. In Outlook, click Help > About Microsoft Office Outlook.
  2. The first line of text details the version and any service packs that have been applied.
You need to have the following version:
    • Outlook 2003: 11.0.8169 or higher
    • Outlook 2007: 12.0.6335 or higher

(c) Download Google Apps Sync by visiting https://tools.google.com/dlpage/gappssync

2) If you're logged into Outlook, exit Outlook

3) Find the folder "Google Apps Sync" from your start menu. Inside that folder you'll find "Set up a Google Apps Sync user." Double Click that icon.

4) Now in the program that starts up, enter your email address and password.

5) Select  Import data from an existing profile, and choose which profile to import from the list. If your account profile is listed, choose your profile name (usually "Outlook"). If instead you've saved your Exchange data in a PST file, choose From a PST File and browse to the file on your computer or network.

6) Specify exactly what you want to import (Contacts, Calendars, Email messages, and so on)—just check each appropriate box. Note that you can import Notes, Journal entries, and Tasks to use within Outlook on your local computer, but this data is not copied, or synchronized, with the Google cloud and therefore won't be available from the Google Apps interface or from any other computer where you use Outlook.

Tip: To avoid importing duplicate data, import all your data once and don't re-import it later.

7) Click Create Profile. Then in the next window that appears, click Start to start Outlook.

8) When Outlook starts. Be sure to not choose "Outlook" or your profile name. Choose the Google Apps profile ("yourname@cril.edu -- Google Aps").

Syncing only happens when Outlook stays open.

9) After your Google Apps profile opens in Outlook, Google Apps Sync begins to import your data from Exchange. If you're importing a profile rather than a PST file, you're prompted to first log in to your Exchange account. As data imports, it begins synchronizing with your Google Apps account in the cloud, where it also becomes available from your Google Apps interface in any web browser.

10) Done! You're now ready to use your new Google Apps account from Outlook!

When importing, it might be a few minutes before you see any data appear in Outlook. Initial synchronization, moreover, can take up to 24 hours to complete (although you can begin using Outlook right away). To see the status at any time, just point your mouse at the Google Apps Sync icon in the Windows system tray.
